We understand that life happens.
Cars break down. Kids get sick. Work meetings run over. Some days just get away from us.
So when we talk about cancellation policies and no show fees, it is not about being rigid or harsh. It is about respect, commitment and sustainability for everyone involved.
Let us explain.
You Are Buying a Time Slot That Only Ever Exists Once
When you book a counselling appointment, you are not simply booking a service. You are purchasing a specific time slot that only ever exists once, ever.
If your appointment is at 3.00 pm on Tuesday, that exact 50 minute window in time will never come around again. Once it passes, it is gone. Unlike a product that can be restocked or resold later, a counselling session is built around time. And time cannot be replaced. When an appointment is missed without notice, that time cannot usually be offered to someone else. It is simply lost.
Commitment Matters in Therapy
Therapy works best when there is commitment from both sides.
As therapists, we commit to:
• Preparing for your session
• Holding that space exclusively for you
• Being present, focused and ready
When clients attend consistently, something powerful happens. Momentum builds. Trust deepens. Progress accelerates.
Cancelling frequently or not attending disrupts that rhythm. It can slow progress and sometimes unintentionally reinforce avoidance, especially when sessions touch on difficult material. Part of growth is showing up, even when it feels uncomfortable.
Fairness to Other Clients
We often have waiting lists.
When someone cancels at the last minute or does not attend, another person who may be struggling misses the opportunity to access support during that time.
Our cancellation policy helps ensure fairness across our client base. It encourages notice where possible, so that time can be offered to someone else in need.
Sustainability of Small Practices
Unlike large corporations, counselling practices operate on scheduled hours. Believe it or not, WTG is still a small practice.
When a therapist blocks out a session, they are not earning income elsewhere during that time. A missed appointment directly affects the sustainability of the practice. Cancellation policies are not designed to punish. They are designed to allow practices to remain viable so we can continue offering support to individuals, families and workplaces long term.
In simple terms, they help keep the doors open.
The Psychological Value of Investment
There is also something important about psychological investment.
When clients commit financially and practically to attending, it increases accountability. That sense of commitment often strengthens engagement in the process. It sends a subtle but powerful message to yourself: “My well-being matters enough for me to show up.”
And that matters.
We Are Human Too
Of course, genuine emergencies happen.
We approach every situation with understanding and discretion. Communication is key. When clients let us know as early as possible, we can usually work with that. Policies provide structure. People provide compassion. Both are important.
In Summary
A cancellation policy is not about being strict. It is about:
• Respecting time
• Supporting commitment
• Ensuring fairness
• Maintaining sustainability
• Encouraging engagement in the therapeutic process
When you book a session, you are reserving a moment in time that will never exist again. That moment is held exclusively for you.
We take that seriously. And we ask that you do too.
Because showing up is often the first step towards meaningful change.
